Key ERP and Management processes

Few of the key functions of these ERP modules are highlighted below.

External Client management

ERP for external clients usually CRM type tools (MS office + Outlook + Meetings ). This will have appointment scheduler with clients, demos, feed backs, follow-ups and any client specific management. Data from CRM / tools /  manual entry / interview notes, transcripts will all go into the CRM tool and later on passed on to ERP  by way of simple copying the docs or having an automated tool to populate relevant client accounts that trigger alerts to related ERP managers

Internal ERP management

ERP for internal use mainly for processes, artifacts creation based on client package / theme / program selected. Manual setup and configuration of servers takes time, so automation will be leveraged. Internal processes and deliverables are prefixed when client sign-off on the deal and client gets to know  delivery details. Mostly our projects are fixed price for the set of deliverables; for any updates, relevant changes will be incorporated at program level; lower levels will be synchronized to reflect the changes. This is acceptable as we are agile and use agile tools (Scrum, Kanban and JIT).

 

Communications management

 

ERP will facility to host a set of communications, social media engagements and provision to host client meetings via skype, video conferencing, virtual help, mentoring and also upload deliverables to specified client shared services

 

​​Program management

 

At corporate level, ERP will handle all the client level and corporate sign off level, accounts, sales, marketing, logistics, revenue, costs, expenses, & income . Payroll processing, tax management, relocation management, appointments, corporate meetings, resolutions, compliance, corporate books, stationary  all are  part of the ERP.  Record / reports of the quarterly , annual meetings, compliance, cash flows, capex, opex, and all such records are maintained.  Based on partner tools, several reports like cost estimates, references, use-cases will be generated and produced to enhance the reporting to client with impressive demos

Project management

At project level, ERP will support various themes and generate templates, useful content, material, use cases, similar projects, code artifacts, software engineering, and deliverables as per the work package. A set of high level low level docs (HLD, LLD, ADD), migration frameworks, tools, suggested project artifacts similar to software factory is suggested even before developers start work on the deliverable.

International Payroll management

Mainly to keep transactions accounts, export/ import, balances in locations,  corporate staff / employee salary account details, TDS, standard deductions and regular filing of GST, TDS and pension allowances.

Investors / Shareholders portfolio management  

Mainly to keep track of the investments, share purchases, stock trades etc and for annual financial reporting, services of company secretary may be leveraged

HR Management

For on-boarding, badge numbering, social security related, project allocation, releasing from projects, appraisals, exit interviews etc. Final hiring decisions of all the hires / fires are done by owners as recruitment is a tricky part and we treat workers as assets and not just a project animal which unfortunately is the case with many fortune firms.

Packing, Shipping & Logistics management

Tangible assets like CDs, drives, servers, knowledge content etc that are to be dispatched via courier or even electronically will be handled by this module. Suitable interfaces , tools and addresses will be identified and mode of shipment, class and delivery notes and issues related to missed / lost posts, insurances will be handled by this team. Suitable service providers are identified for the purpose for domestic and international dispatches

Partner Management 

This deal with the registration of partners, licensing requirements, any inbound/ outbound of assets and project works will be managed here. Suitably the dispatches will be forwarded to concerned account managers on both sides. Suitable list of contact / address details will be retained in the books to ensure they are reachable in case project needs their services. A mutually agreed upon rate chart on both sides will be documented.

Employer self-service management portal

This is mainly for the company managers, owners, directors and other stakeholders who have a significant contribution in the company. For the directors, suitable dashboards, MIS reports, data for modifying client specific details/ data is granted. This helps to add/ modify salary, deductions, taxes, fees, time-sheets and any financial and non- financial matter that is important to the corporate; use of updated forms and and forwarding to the respective leaders and divisions.

This will hold and give access to all the possible intelligence of the company and will also allow the owners to address any situations, emergencies by reaching out to all through emails, calls, sms and even allowing Govt. officers, fire brigades, hospital staff to enter premises with due short notice and alerts etc 

​

Employee self-service portal

This is mainly for the workers who wish to update their details with due approval process. Also they have an open door policy to provide any feedbacks, suggestions, and complaints without informing their manager. These are monitored by owners and suitable actions will be taken. This will have access to monthly salary, assignments, reporting, relocation, visas and any training that are recommended for better partnership levels

ERP admin portal

This is mainly for website maintenance, logs monitoring and any legal matters related to company affairs related to web content, documents, etc. Suitable admin rights will be provided to ensure the ERP portal is running smoothly without any heavy loads. Admin will have task lists to monitor and also refine the resources to ensure load balancing, traffic routing happens properly without any degrade in quality.

Legal, Accountants, Govt. auditor’s portal

This is mainly for compliance matters and for retaining auditors review notes, Govt. observations, legal notices and attending to court or any bodies. Suitable records / proofs/ evidences will be maintained as required by law for at least 5 years. Suitable data related to internal incidents, external incidents, complaints will be maintained. For corporate audits, quality assessments, client feed-backs and any related fees are to be borne by this team.  Chartered accountant, Company secretary will be provided with suitable forms for data entry and display of old records/ new records that will help them to have an internal audit and suitable recommendation to the owners about the health and to-do items.

External consultants / visiting faculty management portal

This is for the external staff, specialist and mentors who are needed to work on our projects. They will be provided standard forms for entering their requirements and suitable booking, reservation, tickets will be managed at our end. They have a free choice to choose their work and nature of fees, payment settlements and other facilities needed for an international traveler. We will have tie-ups with the forex department and other services to ensure they reach on time for their show. 

Visas, forex, air ticketing, hotel reservations management

flight booking, entry/exit papers, letters of recommendations for visa approvals, credential assessment reports, licenses, anti-piracy , anti-terror policies , safe travel plans and all that is needed to help resources to meet client a their location and be ready for the project work.

Ethics and anti-plagiarism management 

This is basically the Info security and ethical division. It deals with all sorts of checks to avoid any legal issues related to IP and copyright infringements. It will also help us deliver a great delivery that is original and has its origins from the OEM and is of right shareable license. It will help in maintaining high standards of delivery

​

Sales & Marketing management

This is the division that brings in the right opportunities, right clients with right sales attitudes. It deals with working with partners and clients (old and new) to get their valuable time in choosing us in serving them

In summary, these modules help better function and manage all activities with zero bias. Suitable tools, forms, and processes that are required for ISO 9000 QMS assessment has been identified and few of them are in place.
